Meeting notes → action list
The prompt
Act as an office manager for a home builder. Below are rough notes from our weekly production meeting. Turn them into a table with four columns: Action, Owner, Due, Lot. Use only names and dates that appear in the notes. If an action has no owner, write "Unassigned." If it has no due date, write "Not stated." Then write a short follow-up email from Dana to the team, under 120 words, listing each action with its owner and due date.
The notes
Production meeting — Monday Here: Dana, Luis, Tasha, Ray, Brooke - Lot 9 framing inspection got bumped. Luis will call the county Wednesday to get it back on the calendar. - Lot 12 windows: Ray has to get the order in by Friday or we lose our spot with the supplier. - Lot 14, rain again. Dry-in slides at least a week. Somebody needs to call the Hendersons with the new date before they hear it from the framer. - Tasha is updating the selections deadline sheet for Lot 7. - Porta-john vendor raised prices again, Ray says about 15%. Talked about switching. No decision, revisit next month. - Lot 16 final walk with the buyer: Brooke and Luis, Thursday at 10. - Dumpster at Lot 9 overflowing again. Luis said he'd call the hauler. - Next meeting same time next week.
Check before you send
- Did it catch the job nobody took?
- Did it invent an owner or a date that isn’t in the notes?
- Would you send the email with your name on it, as written?

Round 2 · Pairs
Job cost table: find the problems
The prompt
Act as a construction office manager. Below is a job cost table for three lots. For each task, calculate Actual minus Budget and the percent over or under budget. Flag any task that is more than 10% over budget. Then tell me which lot is furthest over budget in dollars, and flag any task that starts before the previous task on the same lot is finished. Show your calculation for every task you flag. End with three sentences the owner could read in thirty seconds.
The table
Job cost report — week ending Friday Lot | Task | Trade | Start | Finish | Budget | Actual Lot 9 | Framing | Framer | 8/24 | 9/4 | $24,000 | $25,100 Lot 9 | Roofing | Roofer | 9/8 | 9/10 | $9,500 | $11,200 Lot 9 | Windows & exterior doors | Framer | 9/11 | 9/15 | $6,800 | $6,600 Lot 12 | Plumbing rough-in | Plumber | 9/1 | 9/3 | $7,200 | $7,900 Lot 12 | Electrical rough-in | Electrician | 9/4 | 9/9 | $8,400 | $9,240 Lot 12 | Insulation | Insulator | 9/21 | 9/23 | $3,600 | Lot 12 | Drywall | Drywall | 9/22 | 10/2 | $14,500 | Lot 14 | Foundation | Concrete | 8/17 | 8/21 | $16,000 | $15,400 Lot 14 | Framing | Framer | 8/31 | 9/16 | $26,500 | $30,100 Lot 14 | Roof dry-in | Roofer | 9/21 | 9/23 | $9,800 |
Second prompt, only if it treated blanks as zero
A blank in the Actual column means the task has not started yet. Redo your answer without treating blanks as zero.
Check the numbers
- Does one flagged row match your calculator?
- Did it follow your rule exactly (more than 10%)?
- What did it do with the three blank rows?
Using the Copilot button in Excel?
Copilot in Excel only works on a file saved to OneDrive or SharePoint with AutoSave on. Download it, save it to OneDrive, open it, then click Copilot.
Download the table (.xlsx)Excel prompt
Add a column called Variance that shows Actual minus Budget, and a column called Flag that says "Over" when Variance is more than 10% of Budget and "OK" otherwise. Highlight the Over rows in orange.
Excel follow-up
Leave Variance and Flag empty when Actual is blank. Then tell me which lot is furthest over budget in dollars, and whether any task starts before the previous task on the same lot finishes.

New-buyer orientation deck
The prompt
Create a five-slide presentation for new home buyers who just signed a contract with our company. Slides: 1) Welcome, 2) What happens next, 3) Your selection deadlines, 4) How we'll keep in touch, 5) Who to call. Three to five short bullets per slide, friendly and plain. Mark every specific fact you are not sure of (dates, deadlines, warranty terms, names, phone numbers) with [CONFIRM].
Follow-up
Add speaker notes to the selection deadlines slide, under 80 words, written the way I would say them out loud.
Before a buyer sees it
- Replace every [CONFIRM] with your real dates, names and numbers.
- Hunt for specifics without a tag. Those are the dangerous ones.
- Someone else reads it before it goes out.
Your take-home
Your two-week pilot
The prompt
Act as an operations coach for a residential home builder with [NUMBER] employees. Help me plan a two-week trial of an AI chat tool on one recurring task: [TASK]. On one page, give me: the steps we do today; the one or two steps where AI could help; the person who checks the AI's work before anything goes out; what must never be pasted into the tool; the one person who owns the trial; how we will measure it (minutes saved, mistakes caught); and a three-sentence note to staff explaining the trial. Plain language.
Partner check
- A named person checks the AI’s work before anything goes out.
- A rule for what never gets pasted in (use this morning’s exit-ticket rule).
Before you leave: email your pilot plan and your best prompt of the day to yourself.
